Break Down of The Checkout Screen:
Associated Chart: To associate an invoice with a specific chart note, select it here.
Provider: If your practice compensates providers based on production, you can select the appropriate veterinarian for each charge on the invoice.
Quantity: Type the desired quantity for the line(s) you wish to add to the invoice.
Item: Type in the name of the item or service you wish to add to the invoice, and the dropdown will narrow your search. Select the item or service from the dropdown and click Add Item.
Available Credit: Shows any available account credit amounts associated with the client.
New Invoice: If the selected client already has an open invoice, and you wish to open a new one, you can easily open a new invoice by selecting this option.
Void Invoice: To cancel a saved invoice, click this button.
Print Invoice: This allows you to print or email the current invoice or estimate to the client for review.
Complete Invoice: This button will be blue (clickable) once you've collected payment and the invoice is at 0.00 balance, Clicking Complete Invoice will generate a receipt for the customer and close the invoice.
Sale Taxable: This toggle determines whether or not sales taxes will be applied to the invoice.
Estimate: This toggle determines whether the register is displaying an invoice or an estimate.
Comments box allows you to type information/instructions for the client that will appear on their invoice.
Payment Type: Select the client’s method of payment from this drop-down menu, and click Add Payment. This will then open a slide-out menu on the right side of your screen.
Amount Tendered: Input the amount of money the client is paying through the selected payment method. It will automatically display the amount due, and will only need editing if the client is offering a different amount of money.
Backdate Transaction: The date the payment is processed. The invoice will automatically display today’s date, but if you wish to backdate the payment, click this toggle and select the desired date.
Add Payment: Add a payment to the invoice with the Payment Type and Amount Tendered that have been selected.
Breaking Down of the Invoices Screen:
All Patients: This toggle will display all invoices for any/all patients, not only for the active patient within the Patient Reserve but for all other patients within your system. The filter options below will allow you to narrow that list by the desired criteria.
Owner Name: This allows you to narrow the list of invoices by owner name.
Patient Name: This allows you to narrow the list of invoices by patient name.
Status: This allows you to narrow your list of invoices by Open, Completed, Estimate, or Voided status.
Results Per Page: This allows you to expand the number of results per page.
Set Active: Depending on what's set in the Status dropdown in the Narrow your Search section above, this will be displayed in the list below.
For Example: if you have the All Patients toggle checked, along with the Status Open, the list in the table below will populate all patients system-wide with open invoices. To switch to that patient and invoice, click Set Active on the right side of that patient's line in the list. Not only will it switch to that patient's record, but the system will direct you to that patient's open invoice to modify or complete checkout.
Bulk Add Item: This allows you to add items and/or services to multiple invoices at once. For example, if an owner comes to the practice with multiple animals, the Bulk Add Item button will allow you to add items and/or service(s) to the selected patient invoices without having to create individual invoices for each.
Bulk Add Payment: This allows you to apply a single payment to multiple patients and/or invoices at once. For example, if an owner comes to the practice with multiple animals, the Bulk Add Payment button will allow you to add a payment to be applied to selected patient invoices in the desired order (oldest to newest or newest to oldest) without having to perform individual checkouts.
